Agree on Installation Responsibilities Before Scheduling
A rack installation involves more than assembly. The project needs an agreed configuration, suitable components, a prepared work area and a clear plan for any required approvals. Use the proposal to identify who owns each task.
Useful installation questions start with a few scope gaps: what exactly is being installed, what condition the site is in, and who is responsible for the steps between delivery and a finished, loadable rack. Use the table below to identify the answers before scheduling a crew.

The installer, rack supplier, building owner, engineer and authorities have different roles. Do not assume that one quoted service includes all of them.
Check the Conditions That Affect the Installation
Confirm the rack components and configuration against the project documents. Identify any missing, damaged or substituted parts before assembly. Work must follow the applicable manufacturer instructions, engineered documents and site requirements.
Agree on access, receiving, staging and interaction with other trades. Where work is proposed in an operating warehouse, define the work zone and operating restrictions before committing to a phased or off-hours schedule.
Inspection approval and warranty coverage are not automatic outcomes of using a professional crew. They depend on the actual installation, applicable requirements and manufacturer terms.
Build the Schedule Around Dependencies
Ask for separate milestones for materials, engineering, authority reviews, site readiness, installation and required closeout. Delivery alone does not mean the rack is ready to load. Component shortages, changes to the layout, restricted access or unresolved approvals can affect the sequence.
Moving Existing Pallet Rack? Review the New Site First
Reusing rack is not simply a teardown and reinstall. The rack’s identity, condition, loads and proposed configuration need review alongside the new building, slab, seismic and fire-protection requirements. An engineering package for the old location is not automatic approval at the new one.
Break the move into named tasks: unloading stored material, dismantling, identifying and packing parts, transport, replacement components, reinstallation and old-floor repair. Confirm who provides lifts and who coordinates access at each building.
Labelled Bundles and the Shipping Handoff
Ask that torn-down components be sorted and labelled by type — uprights, beams and decking as separate, identified bundles — with a count for each, so whoever receives them on site (you, a carrier or another installer) knows what each bundle contains without guessing. Confirm who loads at pickup, who unloads at the destination, and who provides the equipment at each location.
Ask when bundle weights and dimensions will be available and when freight pricing will be finalized. If an estimate is prepared before teardown, identify its packing assumptions and confirm whether the actual bundle count, dimensions or weight could change the rate. Plan that handoff before scheduling the carrier.

Confirm What Belongs in a Complete Installation Quote
Two installation quotes that look similar on price can cover very different scopes. Before you compare numbers, confirm these items are defined the same way in each proposal:
- Counts, not just a bay number. Confirm whether the quote counts upright frames, individual beams or beam pairs, and decking separately. A quote priced per beam pair and one priced per individual beam are not the same quantity of steel.
- Usable height, not overall frame height. The height printed on a frame is not automatically usable storage height once sprinkler clearance, load-beam spacing and your loaded pallet height are accounted for. Confirm the levels the installer will actually set, not the tallest frame available.
- Forklift and lift access. State the truck models and lift capability that will operate in the finished aisle, and who supplies any lift equipment the crew needs for unloading, staging or working at height.
- Teardown, transport and floor repair. If existing rack is coming down, confirm dismantling, packing, transport to the new location (or disposal), and repair of the floor or slab left behind are named tasks with an owner, not assumed inclusions.
- Permits and inspections. Confirm who prepares and submits any required documents, who pays the fees, and who is present for the inspection — before work is scheduled, not after a comment comes back from the authority.
Ask for these five items in writing before you sign, even if the rest of the quote looks complete. It is easier to resolve a missing line item on paper than on the day the crew is on site.

The forklift or lift equipment used day to day affects aisle width, guidance and the clearances an installer needs to work safely. Tell us the truck models and lift capability operating in the space, along with any equipment the crew will need to bring for unloading, staging or overhead work — access requirements are part of the installation scope, not an afterthought.
