By the time a compact storage system is being installed, nearly every decision that determines whether it works has already been made: the layout, the drive type, the rail detail, the anchorage, the finish, the power. Those decisions live in the specification and the submittal package. When a high-density mobile shelving system arrives and does not fit the room, the failure almost always traces back to a document that was silent, ambiguous, or never coordinated with another trade.

Mobile storage shelving is specified under MasterFormat section 10 56 26, subdivided into 10 56 26.13 for manual and 10 56 26.23 for motorized systems. That section number is the smallest part of the job. The useful work is describing the performance the system has to deliver, defining what the bidder must submit for review, and naming what is not in this package — because published mobile shelving specifications routinely place the structural floor, the finish flooring, the power wiring and the fire suppression outside the shelving scope, and every one of those exclusions is a coordination item somebody has to own.

This page is a working checklist for owners, specifiers and project managers. It is organized the way a specification section is: what to describe, what to require, what to review, and what to close out.

The submittal path, in the order it actually happens

Each step in this path is an opportunity to catch a mismatch cheaply. Skipping the review steps does not save time; it moves the discovery to the installation crew.

Part 1: what the specification has to establish

A good compact-storage section starts by describing the system as a performance requirement rather than a parts list, then draws a hard line around the scope.

Summary and scope. State that the work includes carriage-mounted high-density storage units, rails, and installation including rail leveling. Then state explicitly what is furnished by others. Published specifications for this product class commonly exclude the structural floor system, the finish floor covering and edging at ramps or recessed rail, power wiring and final electrical connections, and the fire suppression system. If those exclusions are not written down, they become arguments.

Performance and design criteria. The specification should state the loading the system must support, the operating conditions, and the responsibility for verifying the floor. Published sections often reference an allowable subfloor deflection limit and require the structural floor to support the imposed live and dead loads — which only works if someone has actually confirmed the slab. References and jurisdiction. Where seismic design applies, the section has to point at the governing building code requirements rather than assume a manufacturer’s standard bracing package is sufficient; see seismic anchoring and bracing for what that review involves.

Part 2: the product decisions the documents must fix

These are the items that change the price, the lead time and the user experience. Leaving any of them to “contractor’s option” is how two bids become impossible to compare. Deck type, shelf depth and load rating are product decisions with a price. They belong in the documents, not in the field.
Drive typeManual, mechanical-assist or powered — specified by subsection (10 56 26.13 or .23), not by preference. If the choice is still open, see our comparison of drive types before the section is issued.
Carriage and rail constructionCarriage framing, wheels and bearings, rail type (surface-mounted or recessed), rail leveling and grouting, and the anti-tip or anti-drift provisions that keep the system stable in use.
Storage housingThe shelving, racking or cabinets carried on the carriage: type, depth, shelf levels, deck type, load rating and adjustability. This is what the user touches every day.
Controls and safety devicesControl type and mounting height, aisle-holding or lockout features, safety devices and the recovery procedure when one activates. Control height belongs in the documents wherever accessibility matters.
Finishes and end panelsPaint or laminate finish, end panel material and graphics, edge banding, and any signage or labeling system. These drive lead time more often than the mechanical parts do.
AccessoriesDividers, drawers, cubbies, hanging file frames, security doors, aisle lighting. Each one is a real line item and several affect carriage loading.

One layout, referenced everywhere

The specification, the drawings, the bid and the submittal should all point at the same layout revision. A system priced against an early concept and installed against a later plan is the single most common source of field surprises.

Part 3: what the submittal package has to contain

Require enough to be able to say yes or no with confidence. A thin submittal is a deferred problem.

Product data for carriages, rails, storage housings, controls and accessories, with the load ratings and finishes actually being provided. Shop drawings showing the room, the rail layout, range lengths, aisle positions and widths, clearances at walls and columns, and the dimensioned relationship to doors, egress paths and any accessible route. Structural information appropriate to the jurisdiction, including anchorage details and seismic information where required. Electrical requirements for powered systems, so the electrical contractor knows what circuit is needed and where the connection lands. Finish samples where color and material matter. Operation and maintenance data, warranty documentation and a training plan for closeout.

The layout drawing deserves particular attention, because it is the one document that ties everything together. It should show the compacted condition and the open-aisle condition, so it is possible to check the aisle width against the accessible route and against the space needed to work at the shelf. What to actually check when the submittal arrives

Reviewing a mobile shelving submittal is not a rubber stamp. These are the checks that catch the expensive problems while they are still on paper.

  • Does the layout match the room as it exists today — including columns, doors, floor penetrations and anything added since the record drawings?
  • Do the aisle widths on the drawing match the widths the project committed to, measured to the material rather than the shelf face?
  • Is the rail type shown the one that was specified, and is the resulting floor condition detailed at the ends of the ranges?
  • Are the shelf levels and heights consistent with clearance to sprinklers and with the reach expectations set for the room?
  • For powered systems, is the electrical requirement stated clearly enough for the electrical contractor to price and place the circuit?
  • Are anchorage and seismic details present and appropriate for the jurisdiction, rather than a generic detail sheet?
  • Do the finishes and end panels match the approved samples, and is the lead time consistent with the construction schedule?
  • Does the delivery and installation plan account for the route into the room — door widths, corridors and elevator capacity?

Coordination items that live outside the shelving section

The specification for the shelving is only one of the documents that has to be right. These are the adjacent scopes that most often go unassigned.

Structural floor and slab

Capacity, levelness and any required preparation sit with the structural design, not the shelving supplier. Verification has to happen before the layout is finalized.

Power for powered systems

Circuit, conduit, device locations and final connection are typically an electrical scope. Get them into the electrical drawings, not just into an email.

Finish flooring and transitions

Finish floor covering and edging at ramps or recessed rail are commonly excluded from the shelving package. Someone has to own the transition detail.

Sprinkler coverage and required clearance to storage are a fire protection scope. Changing shelf heights late can change the sprinkler design.

Closeout: the part everyone shortens

The last 5% of a mobile shelving package is where long-term satisfaction is won or lost. Three deliverables matter more than they look.

Operation and maintenance documentation that names the service intervals, the adjustments that are normal, and the ones that require the installer. Training for the people who will actually use the system, including safe loading practice, aisle-holding, and — on powered systems — what to do when a safety device stops a carriage. Warranty documentation that distinguishes the shelving, the drive components and the installation.

Add one more: a marked-up as-built layout showing what was installed where. Five years later, when a department wants to add a range or move a category, that drawing is the difference between an afternoon and a new survey.

What MasterFormat section covers mobile shelving?
Mobile storage shelving is specified under section 10 56 26, within Division 10 — Specialties. It is subdivided into 10 56 26.13 for manual mobile storage shelving and 10 56 26.23 for motorized mobile storage shelving. Naming the correct subsection keeps the bid, the submittal and the related electrical scope aligned.
What should a mobile shelving submittal include?

Verification of the structural floor is a design responsibility, not a shelving-supplier responsibility. The specification should require the loads to be stated and the floor to be confirmed by the design professional before the layout is finalized.
How do I compare two mobile shelving bids fairly?
Fix the variables that change price before bidding: drive type by subsection, rail type, shelf configuration and deck type, finishes and end panels, accessories, and the exact layout revision. If those are open, the bids will not be comparable no matter how detailed they look.
Does the specification need to address accessibility?
Where accessibility applies to the room, yes — and it needs to be specific. Aisle clear widths, control type and mounting height, and the floor transition at the rail are all decided by the shelving documents, so leaving them out means leaving compliance to chance.
